Price is often the first thing a CNC parts buyer compares. But when previous suppliers have caused poor component matching, insufficient accuracy, or slow after-sales support, the cheapest quotation may carry the highest risk. This Indian distributor therefore chose a different approach: start small, test the market, then scale the order after real customer feedback.
In October 2024, an Indian trading company contacted LONGQIAO through social media to source a range of CNC machine parts for woodworking routers and machine tools. The cooperation began with difficult price negotiations and a small trial order. By December, after the products had been tested in the local market, the customer returned with a follow-up order reported by our sales team to be no smaller than a container-scale shipment.

The customer first contacted us through a social media platform.
After further communication, we learned that he was a local trader in India and planned to visit our office during a holiday period for a detailed discussion.
Our third sales team adjusted its holiday plans so the meeting could go ahead.
The customer had one very direct request during the meeting:
quote almost the entire product list.
We prepared the quotations item by item.
But the discussion quickly became difficult.
From the customer’s perspective, almost every item was expensive.
Price comparisons continued until the conversation reached a standstill.
For about a minute, neither side had much to add.
Instead of continuing to reduce prices without understanding the reason behind the resistance, we changed the discussion.
We asked about his previous sourcing experience.
That became the turning point.
The issue was not simply that the customer wanted the lowest possible price.
He had already worked with several suppliers.
According to the customer, previous purchases had created problems involving:
Those previous losses made him cautious.
That also explained why a quotation that might look reasonable from the supplier’s side still felt expensive to the buyer.
He was no longer comparing only purchase price.
He was comparing the risk of making another wrong sourcing decision.
This matters for CNC machinery because components such as the servo motor, planetary gearbox, ball screw and linear guide system interact with one another. LONGQIAO’s current technical guidance likewise recommends treating servo motors and drivers as part of a complete motion-control system rather than selecting each component only by price.
We therefore stopped discussing price alone and addressed the customer’s previous problems one by one.
The conversation gradually became more productive.
Still, his earlier losses meant that trust could not be rebuilt during one meeting.
His decision was simple:
start with a small order and test the products first.
In mid-October, we received another message from the customer.
He had decided to purchase a small batch of products for test sales in his local market.
The order covered several different CNC component categories:
The trial order included a 6kW air-cooled spindle motor.
For woodworking CNC equipment, an air-cooled spindle offers a relatively simple cooling structure because it does not require a separate circulating-water system. LONGQIAO’s current spindle range includes both air- and water-cooled configurations for CNC routers, engraving machines and milling equipment.
For this case, however, the important fact was straightforward:
the customer selected a 6kW air-cooled spindle as part of the trial purchase.
No different power rating is inferred from this project.
The order also included linear guide blocks.
A linear guide system uses a rail and matching carriage/block to support controlled linear movement. LONGQIAO currently supplies rail-and-block systems for woodworking CNC routers, laser machines, automation equipment and machining applications.
For a distributor, matching matters because the block cannot be treated as a generic part. Series, rail size and mounting dimensions need to correspond to the buyer’s actual machine requirements.

The customer also tested ball screws.
LONGQIAO’s SFU ball screw products are designed to convert rotary movement into linear movement and are used in CNC and automation systems where smooth transmission and controlled positioning are required.
Again, no unconfirmed screw size or accuracy grade is assigned to this case.

Another part of the test order was the servo motor and driver kit.
The customer’s earlier concern about component compatibility made this category especially relevant.
A servo motor and its driver must be matched to the required speed, load and control conditions rather than treated as unrelated products. LONGQIAO’s current technical content specifically identifies poor motor-drive matching as a source of unstable output and weak motion performance.
The trial purchase also included planetary gearboxes, also commonly searched as:
A planetary gear reducer is used to reduce output speed while increasing available torque in a compact transmission system. LONGQIAO currently offers PLF-series planetary reducers for servo- and stepper-driven CNC and automation applications.

The customer purchased cable drag chains for moving machine cables and hoses.
LONGQIAO’s current PA66 cable carrier range is intended to control cable movement and bending while reducing tangling, pulling and direct abrasion during repeated CNC-axis travel.
The order also contained lubrication units.
In CNC equipment, a lubrication unit supplies oil or grease to moving components such as linear guides, ball screws and bearings. LONGQIAO currently offers both manual and powered lubrication solutions for CNC machines and automation systems.
This made the trial order broader than a single-product test.
The distributor was effectively testing several major LONGQIAO product lines in the local market at the same time.
The quantity of each item was very small.
For a supplier, it would have been easy to view the order as commercially insignificant.
We did not.
The customer was testing three things at once:

That meant the small order was not really a small decision.
If the first shipment failed, there would be no second one.
LONGQIAO’s current business model supports sample orders, mixed-model orders and batch purchasing, while its warehouse operation lists more than 200 stocked SKUs for CNC parts.
For this project, the trial products therefore followed the normal order process rather than receiving reduced attention because of the quantity.
The batch was completed and delivered.
Then we waited for the market to answer the most important question:
Would the distributor’s own customers accept the products?
In mid-December, the customer contacted us again.
The tone was completely different from the difficult conversation in October.
He told us that after putting the trial products into the local market, he had received positive feedback from multiple customers.
According to his message, this created a chain effect.
More customers began ordering, and demand started to exceed the stock available to him.
This was no longer a discussion about whether the quotation was too expensive.
The customer sent another purchasing list.
According to feedback from our third sales team, the new order volume was not less than a container-scale shipment.
We do not present this as a guaranteed outcome for every distributor.
It was the progression of this individual project:
Small Trial Order → Local Market Test → Positive Buyer Feedback → Larger Follow-Up Purchase
That sequence is what makes the case valuable.
The buyer did not increase the order because of a sales promise.
He increased it after testing the products in his own market.
A container-scale CNC parts order creates very different operating demands from a small test shipment.
Once the new purchase order was confirmed, the relevant tasks were assigned across the responsible departments.

The follow-up team monitored the production schedule and provided regular progress updates to the customer.
For an overseas distributor, this matters because a bulk shipment is tied to downstream stock planning.

This was especially important because the customer’s first order had been small, while the second required much more coordination across several product categories.
Another priority was document consistency.
The team completed the main customs-clearance materials approximately seven working days before shipment.

The key requirement was that the information on the documents matched the actual goods.
This is a practical issue in multi-product CNC shipments.
A container may contain spindle motors, guide components, ball screws, reducers, drag chains and lubrication equipment at the same time.
If the model, quantity or description on the documents does not correspond with the shipment, customs clearance can become more difficult.
The team therefore checked the order and documentation before final dispatch.
Before the shipment left the warehouse, the outbound inspection process included item-by-item verification.

This final check was particularly important for a mixed CNC machine parts shipment.
A wrong quantity may be easy to notice.
A wrong variation of a similar-looking CNC component can be harder to detect and may only become visible when the distributor’s customer tries to install it.
That is why the outbound stage focused on identification as well as quantity.
The products in this order did not all have the same weight, shape or handling requirements.
The shipment therefore used a reinforced packaging arrangement that included:

For an overseas distributor, arrival condition matters because damaged packaging or components can delay local resale even when the underlying order is correct.

The sea journey lasted approximately 45 days.
During the project, shipping and documentation were coordinated with the aim of keeping the delivery process moving and reducing avoidable risks related to customs delays, storage charges or port demurrage.
The customer originally believed our quotation was expensive.
That concern was real.
We did not solve it by pretending price did not matter.
Instead, the cooperation moved forward because the distributor was allowed to reduce his risk through a small trial order.
That approach gave him the opportunity to verify the products in the market before committing to larger inventory.

He started with a small mixed-product purchase.
He tested the products in his own market.
Then he made his next decision based on the response he received.
