Recently, our sales department successfully secured an order from a client based in Saudi Arabia. The client’s company, established only three years ago, is currently in a rapid growth phase and found us through our website. To expand their CNC machining capacity, the client needed to procure a batch of new components. Prior to contacting us, the client had failed to reach agreements with several other suppliers due to issues such as insufficient product precision and unsuitable shipping solutions.
Although the order volume is relatively small, and all verification processes have become more stringent due to bilateral policy requirements, our foreign trade department acted promptly. Through comprehensive market research on Saudi Arabia, precise understanding of local needs, in-depth interpretation of bilateral policies, and a well-tailored solution, we successfully addressed the client’s concerns and secured the purchase order.
Following the order confirmation, all relevant responsibilities were clearly assigned to the respective departments. The order follow-up process was built around three core principles: “policy compliance, progress synchronization, and risk early warning.” A multi-departmental closed-loop coordination system was established, involving foreign trade, production, quality inspection, logistics, and customs declaration. Throughout the process, we closely monitored dynamic changes in bilateral policies involving the Middle East, anticipating and mitigating potential risks in advance.
The order follow-up team provided daily updates on production progress and offered real-time feedback to the client at each production stage. Customs declaration documents, including the commercial invoice, packing list, and Arabic technical specifications, were prepared seven working days in advance to ensure complete consistency between documentation and the actual goods.
Meanwhile, the team closely tracked policy developments affecting Middle East trade, such as shipping congestion in the Strait of Hormuz and the need for protective measures against extreme summer heat. After evaluating three qualified international freight forwarders, we selected a partner with extensive experience on Middle East routes and proven capability in high-temperature cargo transport. A direct sea route from our factory to Qingdao Port, and onward to Jeddah Port, was planned to avoid transshipment delays.
Prior to shipment, the warehouse team carried out a strict outgoing inspection, verifying product models, specifications, and quantities to ensure full alignment with the order and customs documents. Given the high-temperature and dusty environment in Saudi Arabia, we adopted triple-reinforced packaging consisting of thickened solid wood cases, moisture-proof film, and shockproof foam, providing effective protection against dust, moisture, and impact.
The voyage takes approximately 18 days. Through efficient coordination throughout the process, we ensured timely delivery and avoided additional warehousing and demurrage charges that might arise from customs clearance delays.
The successful shipment of this order not only tested our foreign trade team’s capabilities but also demonstrated our commitment to service excellence.
